Data deletion

How a clinic, a staff member or a patient can ask for their DentaSetu account and data to be deleted, and what happens when they do.

This page covers the DentaSetu web panel, the desktop apps, the DentaSetu staff app for Android and the patient portal. It explains who to ask, what is deleted, and what — by law — is kept.

1. A clinic closing its account

The clinic's owner or admin writes to mydstechnology@gmail.com from the email address the clinic is registered with, asking for the account to be closed and its data deleted.

  • We confirm the request in writing within 7 working days, and help the clinic take a full export first if it wants one.
  • The account is closed and its data kept, untouched, for 90 days — in case the request was a mistake or an export is still needed.
  • After that it is deleted from our servers: patients, records, images, invoices, staff accounts and message history. Backups that still hold it age out on their own cycle.

2. A staff member deleting their login

A staff login — the one used on the panel and in the Android staff app — belongs to the clinic that created it. To have it deleted, ask the clinic's admin, who can remove it from the panel. If the clinic cannot be reached, write to mydstechnology@gmail.com from the email address on the login and we will arrange it with the clinic.

When a login is deleted, that person can no longer sign in anywhere. Records of the clinical work that person did stay on the patients' files, because the clinic is required to keep them.

3. A patient asking for their data to be deleted

A patient's records belong to the clinic that treated them, which is the data fiduciary under the DPDP Act. A patient who wants their data deleted — or corrected, or a copy of it — should ask that clinic, which can do it from inside DentaSetu. If the clinic does not respond, write to mydstechnology@gmail.com and we will take it up with the clinic.

A patient with a login can also delete it themselves: in the app, from the account menu (Delete my account), or on the web at https://dentasetu.dscyberspace.in/portal/account/delete, without the app installed. The login goes at once and the clinic is asked to erase the file; what the law requires the clinic to keep stays, under a file number with the patient's details removed.

A patient can also ask the clinic to stop sending them messages, or to remove their phone number so that none is sent, without deleting anything else.

4. What is kept, and why

Medical records that a clinic is required by law to keep are kept for as long as that law requires, even after a deletion request, and are then deleted. Tax invoices are likewise kept for the period GST law requires. Everything else is deleted as described above.
